  • Human Resources Assistant

    The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking for an organized, detailed oriented individual for our Human Resources Assistant to join our HR team. As the Human Resources Assistant, you will play a crucial role in supporting our HR department and Presidential Suite. Your primary responsibilities include coordinating recruitment efforts, managing budgets, and providing exceptional customer service, all while representing our values of Integrity, Excellence, Collaboration, and Service.

    With a team of more than 50 dedicated individuals working to support fundraising and donor and alumni relationships, the WSUFAE is proud to champion the continued growth of Wichita State University.     Primary Responsibilities:

     

    1. Recruitment:
      • Maintain the postings of open positions on relevant job boards and platforms
      • Screen resumes ensuring candidates meet the minimum job requirements
      • Coordinate all schedules for interviews with candidates
      • Coordinate all candidate communication
      • Maintain accurate recruitment records
      • Assist with onboarding to ensure process is followed and paperwork is filled out correctly

     

    1. Administrative Duties:
      • Answer the phone and route calls appropriately.
      • Schedule meetings as needed.
      • Greet all visitors ensuring a welcoming and professional office environment.
      • Assist with events to include running errands, setting up, hosting, and tearing down as needed.
      • Assistant in maintaining an accurate filing system
      • Assist and organize mail
      • Assist with processing monthly, quarterly, and yearly reports
      • Run errands picking up needed items as requested

     

    1. Management of the President’s Suite:
      • Open the suite, greet guests and set a positive office atmosphere
      • Prepare the President’s Conference Room to include calendar confirmation, catering, setup and teardown
      • Support administrative needs for team-level, org-wide, or cross-team special projects as assigned
      • Assist with the preparation and execution of board meetings and employee-centered events

     

    1. Customer Service:
      • Be the face of the department and Presidential Suite creating a welcoming environment to all who call or enter the office
      • Assisting and answering questions from employees regarding the HR team as appropriate

     

    1. Budget Coordinator:
      • Maintain the department’s budget by tracking expenditure
      • Submit check requests as needed
      • Manage credit card statements and submit in a timely basis
      • Provide other budget reports as needed

     

    1. Complete other duties as assigned

     

    Job Requirements

    • Associate’s degree in human resources or business administration
    • Experience in a customer focused role

    Preferred Requirements and Skills

    • Bachelor’s degree in Human Resources
    • Experience working in Human Resources or assisting multiple people

  • Donor Compliance Coordinator

    The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking for an organized, detailed oriented individual for our Donor Compliance Coordinator on our finance and operations team. As the Donor Compliance Coordinator, you will play a crucial role in ensuring the integrity and compliance of accounts with donor intent. Your primary responsibilities include serving as the key auditor, overseeing the accounts’ financial activities, and maintaining effective communication channels with various stakeholders. Through meticulous account reviews, reporting, and collaboration with internal teams, you will contribute to the smooth operation of WSUFAE’s financial processes.

    The job duties for this position include:

    1. Account and Compliance Oversight:
      • Primary auditor of accounts to ensure compliance with donor intent. Gather and record monthly information about the status of accounts.
      • Communicate with development staff, campus administrators, and other team members regarding account issues.
      • Prepare and report on status of audits related to account expenditures. Communicate with development staff any issues regarding donor intent communications.

     

    1. Data Management and Reporting:
      • Perform the monthly account review to ensure that monies expended through the Foundation are being used in accordance with the terms of the accounts.
      • Continually monitor accounts balances, communicating with university staff and tracking and documenting activity until issues are resolved.
      • Works with the team to develop and produce various status reports for the Development Team, Senior Management, etc., as assigned.
      • Collect and enter new and updated account administrators’ signature forms for all foundation accounts, requesting updates from the university as needed.
      • Assist and support other departmental data management and reporting needs, as assigned

     

    1. Gift Agreement Support:
      • Provide fast and accurate support on agreement status inquiries from development staff.
      • Provide information relating to account usage in support of Stewardship Reports
      • Develop and maintain training materials for staff education.

     

    1. Perform any other duties as assigned.

     

    Job Requirements

    • Bachelor’s Degree in finance, accounting, or related field
    • Experience working with information tracking and projects
    • Experience in auditing and preparation of audit reports

  • Assistant/Associate Director of Development – Barton School of Business

    The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking to hire a talented, self-motivated individual as the Assistant/Associate Director of Development with our fundraising team. This position will work toward promoting gifts to benefit the Barton School of Business. This individual will be responsible for the identification, cultivation, solicitation, and stewardship of prospective and present donors to Wichita State University.

    With a team of more than 50 dedicated individuals working to support fundraising and donor and alumni relationships, the WSUFAE is proud to champion the continued growth of Wichita State University.     The ideal candidate could have experience in sales, entering sales into a CRM, and/or having monthly/yearly sales goals to meet.

    The job duties for this position include:

    • Responsible for gift fund-raising, with level of gifts dependent on level of experience, through outright gifts, pledges or deferred gift instruments in coordination with position metrics. Position Metrics include in-person visits, meaningful contacts, proposals, planned gifts, and dollars raised.
    • Collaborate with other development staff on joint cultivation and stewardship efforts.
    • Be a liaison between assigned college(s)/departments and WSUFAE by coordinating prospect identification, cultivation, solicitation, and stewardship with the college dean(s).
    • Represent the Foundation by attending appropriate University events and functions.
    • Work with prospect research in the identification and the research of potential donors and the development of prospect information.
    • Develop and manage an annual budget for fund-raising activities and professional development. Develop annual goals and objectives in conjunction with college dean(s).
    • Maintain accurate computer and paper files as necessary.
    • Perform any other duties as assigned.

     

    Job Requirements

    • Bachelor’s degree from an accredited institution required
    • Associate level will require one to three years of major gifts experience
    • Must be willing to travel with occasional weekend and evening work
    • Must have and maintain a valid driver’s license and insurance
    • Project professional image at all times
