  • Events Assistant

    Join our dynamic team at Wichita State University Foundation and Alumni Engagement (WSUFAE) as an Events Assistant! In this exciting role, you will collaborate closely with the Executive Director of Donor Experience to coordinate and execute a diverse range of events and stewardship reporting, playing a pivotal role in fostering meaningful connections with our donors. Your exceptional organizational skills, flexibility, and strong communication abilities will be key assets as you assist in implementing stewardship strategies for large gifts, manage event logistics, and ensure the production of creative stewardship reports.     With more than 50 staff working in direct fundraising, accounting and gift records, research, communications, donor relations, and support roles, the WSU Foundation is the premier fundraising operation in the region. This fiscal year the WSUFAE raised more than $42 million and we are gearing up for our next campaign. This is an exciting time at WSU with the expansion of both programs and facilities.

    The ideal candidate should have experience in event planning or customer service.

    The job duties for this position include:

    • Assist with stewardship strategies for large gifts and manage the production of creative and compelling stewardship reports by identifying content for public, print, and digital recognition.
    • Under the direction of the Executive Director of Donor Experience, provide leadership and direction in the execution of high-quality events and ceremonies throughout the year; Society of 1895, Heritage Gala, Retired Faculty and Staff breakfast, Holiday Reception, Scholarship Dinner, Fairmount Society, etc.
    • Responsible for reserving and managing vendors for set events to include but not limited to caterer, venue, entertainment, volunteers, florist, students, print materials, event setup, and teardown.
    • Prepare, manage, and monitor event budgets, anticipating costs of production, technical, and promotional needs (name tags, place cards, photos, escort cards, signage, centerpieces, decorations, survey, etc.)
    • Support the acknowledgement process: work with Executive Director of Donor Experience to ensure the weekly acknowledgment letters and annual stewardship reporting shows gratitude, messaging and images are relevant to the gift/donor, includes a meaningful message, and delivered in a timely manner.
    • Document stewardship-related interactions in database (examples include giving society membership, capital/campaign donor recognition and signage, and fund contacts).
    • Assist with tasks specific to engaging and retaining first time donors, reoccurring donors, and consecutive giving donors.
    • Coordinate the reporting of non-scholarship endowments to donors which includes requesting and drafting giving information that demonstrate the impact of philanthropy.
    • Serves as backup to the Executive Director of Donor Experience and is cross trained on all processes related to naming valuation and donor recognition signage.
    • Coordinate and participate in discussions and decision-making about event strategies, opportunities, potential conflicts, and other issues related to successfully producing internal and external events.

    Minimum requirements for the position include:

    • A minimum of three (3) years of event planning or customer service experience
    • The ability to handle multiple tasks with organization and accuracy
    • A collaborative, team-oriented attitude
    • Experience developing and/or formalizing processes and procedures
    • Demonstrated highly developed project management skills
    • Knowledge and experience with budget planning and prioritization of projects, programs, and activities
    • Ability to occasionally work a flexible schedule including evenings, weekends, and early mornings.
    • Enthusiasm with a commitment to excellence
    • Self-motivation with a professional demeanor

  • Donor Compliance Coordinator

    The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking for an organized, detailed oriented individual for our Donor Compliance Coordinator on our finance and operations team. As the Donor Compliance Coordinator, you will play a crucial role in ensuring the integrity and compliance of accounts with donor intent. Your primary responsibilities include serving as the key auditor, overseeing the accounts’ financial activities, and maintaining effective communication channels with various stakeholders. Through meticulous account reviews, reporting, and collaboration with internal teams, you will contribute to the smooth operation of WSUFAE’s financial processes.

    The job duties for this position include:

    1. Account and Compliance Oversight:
      • Primary auditor of accounts to ensure compliance with donor intent. Gather and record monthly information about the status of accounts.
      • Communicate with development staff, campus administrators, and other team members regarding account issues.
      • Prepare and report on status of audits related to account expenditures. Communicate with development staff any issues regarding donor intent communications.
    2. Data management and Reporting:
      • Perform the monthly account review to ensure that monies expended through the Foundation are being used in accordance with the terms of the accounts.
      • Continually monitor accounts balances, communicating with university staff and tracking and documenting activity until issues are resolved.
      • Works with the team to develop and produce various status reports for the Development Team, Senior Management, etc., as assigned.
      • Collect and enter new and updated account administrators’ signature forms for all foundation accounts, requesting updates from the university as needed.
      • Assist and support other departmental data management and reporting needs, as assigned
    3. Gift Agreement Support
      • Provide fast and accurate support on agreement status inquiries from development staff.
      • Provide information relating to account usage in support of Stewardship Reports
    4. Develop and maintain training materials for staff education.
    5. Perform any other duties as assigned.

    Job Requirements

    • Bachelor’s Degree in finance, accounting, or related field
    • Experience working with information tracking and projects

  • Associate Director/Director of Development – Fairmount College of Liberal Arts and Sciences

    The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking to hire a talented, self-motivated individual as the Associate Director/Director of Development with our fundraising team. This position will work toward promoting gifts to benefit the Fairmount College of Liberal Arts and Sciences. This individual will be responsible for the identification, cultivation, solicitation, and stewardship of prospective and present donors to Wichita State University.

    With a team of more than 50 dedicated individuals working to support fundraising and donor and alumni relationships, the WSUFAE is proud to champion the continued growth of Wichita State University.     The ideal candidate could have experience in sales, entering sales into a CRM, and/or having monthly/yearly sales goals to meet.

    The job duties for this position include:

    • Leads fundraising through outright major gifts, pledges, or deferred gift instruments in coordination with position metrics. Position metrics include in-person visits, meaningful contacts, proposals, planned gifts, and dollars raised.
    • Collaborates with other development staff on joint cultivation and stewardship efforts.
    • Communicates and is a liaison between assigned college(s)/departments and WSUFAE by coordinating prospect identification, cultivation, solicitation, and stewardship with the college dean(s).
    • Engages with donors, alumni, and friends through appropriate communication channels with frequent in-person visits with them.
    • Represents WSUFAE by attending appropriate University and WSUFAE events and functions to include after work hour events.
    • Works with prospect development in the identification and the research of potential donors and the development of prospect information.
    • Develops and manages an annual budget for fundraising activities and professional development. Develops annual goals and objectives in conjunction with college dean(s).
    • Maintains computer and paper files as necessary.
    • Provides backup support for other office staff when appropriate.
    • Performs any other duties as assigned.

    Job Requirements

    • Bachelor’s degree from accredited institution required
    • One year of experience of Major Gifts ($50,000 or more) experience in higher education or equivalent experience is required for the Associate Director level position
    • Three years development of Major Gifts ($50,000 or more) experience in higher education or equivalent experience is required for the Director level position
    • Must be willing to travel with occasional weekend and evening duties
    • Must have and maintain valid driver’s license and insurance
