  • Associate Director of Alumni Programming

    Wichita State University Foundation and Alumni Engagement is looking to hire an organized, highly motivated, and detail-oriented individual to create meaningful and unique programs that engage a diverse constituency base to serve in the position of Associate Director of Alumni Programming. This role will be part of the Alumni Engagement team and will work closely with the Vice President for Alumni Engagement to create social opportunities for Wichita State University alumni and friends.

    With more than 52 staff working in direct fundraising, accounting and gift records, research, communications, alumni engagement, donor relations and support roles, the WSU Foundation is the premier fundraising operation in the region.     Overview of Primary Responsibilities:

    • Work with the Vice President of Alumni Engagement in developing the strategy and managing the execution of signature programs.
    • Develop and execute processes and procedures to create meaningful experiences for alumni, students and friends, with the goal of driving engagement, cultivating financial contributors, and ensuring event success.
    • Overseeing programming from the start of planning to gathering information from the program to later be reported on.
    • Work with various WSUFAE staff, WSU staff, volunteers, and alumni to create effective and successful programming to advance the team and organizational goals.
    • Work in conjunction with the VP of Alumni Engagement on a budget staying within the allocated budget and ensuring to follow policies and procedures.
    • Communicate with the Vice President of Alumni Engagement on the status of relevant programs. Identify opportunities for improvement in processes and programming.
    • Attend meetings and take minutes when required.
    • Provide backup support for other office staff when appropriate.
    • Maintain computer and paper files as necessary.
    • Perform any other duties as assigned.

    Job Requirements:

    • Bachelor’s degree
    • Three years of project or program management or equivalent experience
    • Experience with high-caliber, high visibility events programs preferred
    • The flexibility to occasionally work early mornings, late evenings and weekends.
    • Self-motivation with a professional demeanor
    • The ability to handle multiple tasks with organization and accuracy
    • A collaborative, team-oriented attitude
    • Experience working with databases
    • Commitment to the WSUFAE core values of Integrity, Service, Excellence and Collaboration

    Skills:

  • Administrative Assistant

    The Wichita State University Foundation is looking to hire a positive, talented, detail-oriented individual as an Administrative Assistant to join our Development Team. This role will provide support to the Associate Vice President of Development’s team. This individual will be assisting with scheduling, providing effective communication through multiple channels, preparing and distributing reports, maintaining accurate records, and more.

This past fiscal year the WSU Foundation raised more than $60 million. This is an exciting time at WSU with expansion of both programs and facilities.

    Primary Responsibilities:

    • Assist assigned development teams’ day to day activities, management of calendar, coordinating travel, special projects, and events, including preparation of materials, proposals, and guidelines.
    • Schedule appointments: arrange meetings and set up conference rooms.
    • Prepare and distribute correspondence, reports, and other documents as required.
    • Submit all travel requests, receipts, and expense reports to appropriate personnel.
    • Attend meetings and take minutes when required.
    • Serve as backup assistant for the overall development team.
    • Provide backup support for other office staff when appropriate.
    • Maintain computer and paper files as necessary.
    • Perform any other duties as assigned.

     

    Job Requirements:

    • High School diploma or its equivalent
    • Four years administrative support (supporting an individual) experience.

    • Develop and execute processes and procedures to create meaningful experiences for alumni, students and friends, with the goal of driving engagement, cultivating financial contributors and ensuring event success by:
      • Overseeing calendar of event communications, campaigns, and events.
      • Coordinating pre-event meetings with stakeholders and vendors as needed to ensure all details of event(s) are covered, confirmed and organized.
      • Responsibly tracking attendee communications, invitations and follow-up messaging.
      • Anticipating project and event needs, prioritizing work, and meeting deadlines with little supervision.
      • Working closely with the Marketing and Communications and the Donor Experience teams to execute pre and post event communication plans.
      • Informing and updating staff members and other involved parties throughout the event cycle.
      • Tracking detailed revenue/expenses for all events.
      • Conducting post-event surveys, evaluations and debrief meetings
      • Providing detailed reporting on event performance and finances, attendee engagement, giving, and other constituent trends throughout the year.
    • Effectively communicate with the Vice President for Alumni Engagement on the status of relevant programs and events. Identify opportunities for improvement in processes and programming.
    • Work closely with Alumni Engagement colleagues to advance the team and organizational goals.
    • Possesses the ability to interact effectively with a broad range of audiences including volunteers.
    • Excellent oral and written communication skills, strong organizational skills and the ability to collaborate with staff members and others within the university community.
